Eastown is a start-up church located in San Ramon, California. We are deeply passionate about our mission of inspiring and equipping anyone to love like Jesus where they live, work, and play. We believe if we do this well and by God’s grace, we will see love, healing, and justice spread where we are each strategically placed. While our local context is the East Bay, (the #1 un-churched and de-churched area in our nation) part of our church body is now located in other places on account of our online service option. POSITION OVERVIEW:
Eastown is looking to hire an Operations Director to lead all elements of Eastown’s Sunday and day-to-day systems and processes. The primary goals of this position are to ensure:
Eastown operations run efficiently and effectively.
Eastown Leads and volunteer leads feel supported and resourced.
Systems and processes are improved and/or created where needed.
This role reports to Michaell Dupin, Co-lead of Eastown.
KEY RESPONSIBILITIES:
Day-to-day Operations
Create, implement, and consistently optimize systems and processes
Manage and optimize technology stack (e.g., Asana, G-suite, Dropbox)
Manage HR processes, (e.g., Lead talent acquisition process, ensure labor law compliance, manage time / pay, manage employee benefits, maintain structure and cadence of performance reviews, update employee handbook as needed)
Coordinate logistics (e.g., document preparation, agendas, minutes, food, fun) for staff meetings, offsite trainings, and management team meetings
Manage relationship and communication with all vendors
Manage procurement process and supply inventory
Collaborate with bookkeeper to track budget, share reports, and mange expense reimbursements
Create and maintain calendar of events, staff and church-wide
Help execute all new person connection processes
Maintain Eastown’s congregation database
Establish additional volunteer teams to manage other administrative tasks as needed
Sunday Operations
Manage Sunday morning Production Lead role and Set-up/Tear-down Lead as direct reports (note: the number of direct reports may grow over time as staff or volunteer teams expand)
Oversee volunteer operations and staff and volunteer teams on Sunday
Lead relationship with facility point of contact
Track and maintain supplies for all ministries in coordination with volunteer leads
Supporting Volunteers
Support ministry team leads to ensure coverage for all Eastown events
Anticipate challenges and problem solve to help co-leads stay focused on leading the movement of Eastown forward
Help create an enthusiastic and servanthood culture at Eastown
Special Event Operations
Build a volunteer team to help own all elements of special event planning and execution, e.g., Research options, lead vendor negotiations, coordinate logistics
Strategic Operations
Collaborate with Eastown leadership to:
Evaluate potential permanent locations
Craft messaging and supporting materials for strategic communications (e.g., church-wide vision night)
Ensure the mission, vision, and values of Eastown are reflected in all significant decisions
REQUIRED QUALIFICATIONS:
Bachelor’s degree in Business Administration or other related field
10+ years of experience in an operations role with increasing scope of responsibility
Experience evaluating, improving, documenting, and leading training on new systems and processes
Experience recruiting and building volunteer teams
Demonstrated ability to work in a fast-paced, time-sensitive, and dynamic environment
Excellent organizational and project management skills
Exceptional problem solving and conflict resolution skills
Excellent written and verbal communication skills
Experience negotiating with vendors
Comfortable creating structure from ambiguity
Advanced skills in Microsoft Office and G-suite
Ability to anticipate change and react efficiently and expeditiously
Strong teamwork skills and a willingness to offer constructive feedback
PREFERRED QUALIFICATIONS:
